What should a PIM RFP include?
A PIM RFP should include company context, scope and volumes, a data model summary and prioritised, testable requirements in 4 domains. It adds the integration landscape, demo scenarios, a fixed pricing template and the evaluation method with weights. The pricing template and shared scenarios make vendor answers comparable.
A PIM RFP needs enough context for vendors to answer precisely and enough structure for you to compare answers. It contains 8 parts:
- Context: company, products, channels, markets, languages and the reason for the project.
- Scope and volumes: SKUs, attributes per family, assets, locales, users and channels.
- Data model summary: product families, variants, relations and the standards in use.
- Requirements in 4 domains: data model and quality, process and governance, integration and syndication, platform and vendor, each with priority and acceptance test.
- Integration landscape: ERP, commerce, DAM, PLM and the target data flows.
- Demo scenarios: real use cases with sample data that the shortlist will show.
- Pricing template: one format for licence, implementation, support and 5-year cost.
- Evaluation method: criteria, weights, timeline and the decision process.
PIMvendors cross-checks RFP requirements against a checklist of 400+ requirements to find gaps before vendors do. The pricing template matters as much as the requirements, because free-format quotes cannot be compared.
Keep the RFP readable. Vendors give their best answers to documents that explain the business problem, and generic answers to oversized spreadsheets. Share the evaluation weights with vendors, so they focus on what you score.
