RFP: definition and role in PIM

RFP is a procurement document that asks shortlisted vendors for a detailed solution proposal, pricing and contractual terms against defined requirements.

In PIM practice, an RFP contains the buyer's context, prioritised requirements, integration landscape, volumes, scenarios and commercial questions. Vendors answer requirement by requirement and price the solution, including implementation where relevant.

Illustrative example: a distributor sends an RFP with 180 prioritised requirements, ten demo scenarios and a pricing template to four shortlisted PIM vendors. Answers feed a weighted comparison and the invitations to scenario demos.

In a selection, an RFP works best when requirements are testable and prioritised. Long lists of generic requirements produce answers where every vendor complies with everything. PIMvendors cross-checks requirements against a 4-domain checklist of 400+ requirements and keeps RFPs focused on what separates vendors. Each requirement should state its priority and how it will be verified, so scoring stays consistent across vendors.
