PIM TCO calculator: estimate five-year PIM cost in ten categories
The PIM TCO calculator estimates five-year PIM total cost of ownership across ten categories, from licence to AI usage credits. Choose a segment, mid-market or enterprise, and the calculator fills each category with a PIMvendors planning estimate. Overwrite every default with your own quotes and internal figures to get a five-year total you can defend.
How does the PIM TCO calculator work?
The PIM TCO calculator adds ten cost categories over five years and splits them into one-off and recurring cost. Choose a segment, review each category and overwrite the defaults with your own figures. The result is a five-year total with the share of each category. The method is explained in the PIM business case pillar.
| Cost category | Type | Low (EUR) | High (EUR) |
|---|---|---|---|
| Licence or subscriptionAnnual software fee for the PIM, including the modules, users, channels and SKU tier in your scope. | Per year | ||
| Implementation partnerOne-off partner fees for configuration, workflows, user roles, project management and testing. | One-off | ||
| IntegrationOne-off build of interfaces to ERP, PLM, DAM, commerce and channels, by a partner or your own IT team. | One-off | ||
| Data migration and cleansingOne-off effort to extract, deduplicate, correct, map and load existing product data into the new model. | One-off | ||
| Data model designOne-off workshops and design of families, attributes, classification and attribute ownership per system. | One-off | ||
| Internal team timeAnnual loaded cost of your own staff on the PIM: product owner, data stewards and IT support. | Per year | ||
| Training and changeOne-off training, process documentation and change management for every team that touches product data. | One-off | ||
| Ongoing run costsAnnual partner support, interface maintenance, upgrades, monitoring and hosting where the PIM is not SaaS. | Per year | ||
| ConnectorsAnnual fees for packaged connectors, iPaaS subscriptions, feed tools or data pool memberships. | Per year | ||
| AI usage creditsAnnual consumption fees for AI features such as attribute extraction, translation and description generation. | Per year |
These defaults are PIMvendors estimates for planning, not quotes.
The calculator treats recurring categories as annual amounts, multiplied by five years. One-off categories count once. That split shows why a low year-one licence can still lead to a high five-year cost.
Which inputs does the calculator need?
The calculator needs one input per category, either a single figure or a low and high estimate. Each category has a short help text. The categories match the PIM total cost of ownership guide.
| Category | Type | Your input |
|---|---|---|
| Licence or subscription | Recurring, per year | Vendor quote for your five-year volumes |
| Implementation partner | One-off | Partner quote for configuration and project management |
| Integration | One-off | Interfaces to ERP, PLM, DAM, commerce and channels |
| Data migration and cleansing | One-off | Effort to clean, map and load existing data |
| Data model design | One-off | Workshops and design of families, attributes and ownership |
| Internal team time | Recurring, per year | Hours per role × loaded hourly cost |
| Training and change | One-off | Training and process change across teams |
| Ongoing run costs | Recurring, per year | Support, interface maintenance, upgrades, hosting |
| Connectors | Recurring, per year | Packaged connectors, iPaaS, feed tools, data pools |
| AI usage credits | Recurring, per year | Consumption fees for AI features |
Start with the segment closest to your situation. Mid-market covers 5,000 to 50,000 SKUs; enterprise covers 50,000 SKUs and more.
Where do the default values come from?
The default values are PIMvendors estimates for planning and carry no vendor quotes. They reflect plausible ranges for European PIM programmes in each segment. Every default is a placeholder that you should overwrite.
Replace defaults in this order:
- Internal team time, because only you know your roles and rates.
- Data migration and cleansing, after profiling a sample of your data.
- Licence, partner and integration lines, once quotes arrive on the same scope.
In the PIMvendors view, licence fees are a minority of PIM total cost. With the default estimates, licence comes to roughly 20 percent of the five-year total. Your own figures may differ, which is the point of overwriting them.
What should you do with the result?
Use the five-year total as the cost side of the business case. Compare it with the benefit levers in the PIM ROI guide to calculate ROI and payback. Then copy the totals into the PIM business case template.
Run the calculator once per option when you compare routes, such as SaaS against self-hosted or two shortlisted vendors. Keep scope and internal effort consistent across runs. The difference between options then shows which cost lines drive it.
Use the defaults to start the conversation, then replace them line by line. The calculator is only as good as the internal hours you are willing to count.
Frequently asked questions
Are the calculator defaults vendor prices?
The calculator defaults are PIMvendors planning estimates and contain no vendor prices or quotes. They show plausible ranges for European mid-market and enterprise programmes. Replace each default with a vendor quote, a partner quote or your own internal estimate as soon as you have one. Keep a note of the source for every figure you enter.
Why does the calculator include internal team time?
Internal team time is part of PIM total cost of ownership, and in many programmes it is the largest recurring line. Product owners, data stewards, enrichment staff and IT support work on the PIM every week. Leaving their time out makes the PIM look cheaper and hides the capacity needed for go-live and beyond.
Can I use the calculator to compare vendors?
You can use the calculator to compare vendors by running it once per option with the same scope. Enter each vendor's licence model, the partner's quote and the matching run costs. Keep internal time and data work consistent unless an option genuinely changes them. Compare the five-year totals.
