PIM SelectionThe independent guide to choosing a PIM

RFI: definition and role in PIM

RFI is a procurement document that asks a broad set of vendors for general information about their company, product and approach to narrow a longlist.

In PIM practice, an RFI asks about company profile, product scope, architecture, references, partner network and indicative pricing. It is shorter than an RFP and goes to more vendors.

Illustrative example: a manufacturer sends a 30-question RFI to ten vendors on its longlist. Answers on ERP connectors, ETIM support and implementation partners in the Benelux narrow the list to four vendors for the RFP.

In a selection, an RFI is optional. Buyers with a clear profile can often move from longlist to shortlist using public information, analyst input and short calls. An RFI adds value when the market is unclear or when procurement rules require a formal step. A short, focused RFI gets better answers than a long one and respects the time of both sides.
