Shortlist: definition and role in PIM
Shortlist is a small set of vendors, usually three to five, that the buyer selects from the longlist for detailed evaluation through RFP, scenario demos and reference checks.
In PIM practice, shortlisted vendors receive the RFP, the sample data and the demo scenarios. Each one invests significant effort, so a shortlist larger than five usually lowers answer quality and stretches the buyer's evaluation team.
Illustrative example: a brand narrows twelve longlisted vendors to four, based on RFI answers about marketplace connectors, DAM integration and pricing model. The four receive the same scenarios and sample data.
In a selection, the shortlist step decides which vendors get a fair test. PIMvendors enforces neutrality in the data model. Its selector and this hub's vendor records carry no sponsorship or partner-tier field, so commercial relationships cannot shape a shortlist. A shortlist of three to five vendors also keeps the internal team's demo and scoring workload manageable.
