PIM SelectionThe independent guide to choosing a PIM

How many vendors should be on a PIM shortlist?

Put 3 to 5 vendors on a PIM shortlist. Fewer removes real competition, and more makes scenario-based demos too heavy for the buying team to compare fairly. PIMvendors estimate: a longlist of 10 to 15 candidates, filtered on hard constraints and fit criteria, is the usual route to that shortlist.

A PIM shortlist should hold 3 to 5 vendors. Three gives real competition and a fallback during negotiation, and five is the practical maximum. Each extra vendor adds a full round of scenario demos, scoring and reference checks, and the buying committee's attention drops with every round.

PIMvendors estimate of the funnel in a typical selection:

  • Market: PIMvendors tracks 250+ PIM systems.
  • Longlist: 10 to 15 candidates that pass hard constraints such as deployment, region and segment.
  • Fit criteria and an evidence check, by desk review or RFI: 5 to 8 candidates.
  • Shortlist: 3 to 5 vendors invited to the RFP and scenario-based demos on your own data.
  • Final: the top 2 vendors in reference checks, proof of concept and negotiation.

Two filters do most of the work between longlist and shortlist. First, the must-have requirements from the data model and integration landscape. Second, commercial fit: pricing model, partner availability in your region and contract terms.

Keep the shortlist varied in architecture, for example a broad suite next to specialist platforms, so the demos show real alternatives. Vendor lists on PIM Selection are alphabetical and carry no sponsorship field, so your requirements remain the only filter.
