PIM SelectionThe independent guide to choosing a PIM

PIM RFP template builder: from requirements to a vendor-ready RFP

The PIM RFP builder turns the requirements you selected in the PIMvendors checklist and your demo scenarios into a PIM RFP template ready for vendors. Each requirement keeps its stable ID, priority and test, and vendors answer per ID with a fixed response code. The answers feed the scorecard and become annexes to the contract.

How the PIM RFP builder works

The RFP builder combines two inputs into one RFP document: your requirement selection from the PIM requirements checklist and your demo scenarios. It keeps every stable ID, so the RFP, the scorecard and the contract annex refer to the same lines.

Start in the checklist. Filter by industry and regulation, set your priorities and add your own requirements. Then open the builder, add your scenarios and company context, and generate the document.

The builder only works as well as its inputs. Requirements should be testable and traced to a process, as described in writing testable PIM requirements. Scenarios should use your own sample data. A short, sharp RFP gets better answers than a long one, because vendors spend their effort where your priorities are.

The builder uses the requirements you selected in the checklist. No selection found yet; all musts are used.

What the generated RFP contains

The generated RFP follows the structure PIMvendors uses in its own selections. Each section answers a question vendors would otherwise ask by email.

  1. Company context: products, channels, markets, volumes and current systems.
  2. Scope and won't-haves: what this selection covers and what it consciously leaves out.
  3. Data model reference: your entity overview, families and attribute inventory summary.
  4. Requirements by domain: DM, PR, IN and PL, each with ID, statement, priority and response columns.
  5. Demo scenarios: the business flows vendors will demonstrate on your sample data.
  6. Commercial questions: licence metrics, editions, services and partner rates.
  7. Contract terms: SLA, support, data residency, renewal caps and exit.
  8. Timeline and evaluation: dates, the scoring method and the decision process.

The structure of the RFP process itself is explained on the PIM RFP page.

Response codes per requirement

Vendors answer each requirement with one response code, a short explanation and the edition that includes it. Fixed codes make answers comparable and scorable.

Response code Meaning Illustrative score (points)
Standard Available in the product without configuration 3
Configuration Achieved through configuration by a business user or administrator 2
Extension Requires partner development or a paid connector 1
Roadmap Planned, with a committed release date 1
Not supported Not available and not planned 0

Musts answered with extension, roadmap or not supported trigger a formal discussion before the vendor continues. The scoring logic matches prioritising PIM requirements.

Using the RFP in the decide stage

In the decide stage, the RFP turns demo impressions into written commitments. Ask the remaining vendors to confirm or correct their answers after the demos. Any answer that changed between RFP and demo is a point for negotiation.

Three checks make the final round effective.

  • Compare answers with the demo: any requirement shown differently than answered gets a written clarification.
  • Check editions: every requirement answered as standard must be available in the edition you are pricing.
  • Check roadmap dates: roadmap answers on musts need a date and a contractual consequence if the date slips.

Attach the final answers to the contract as an annex, with the IDs intact. Compare them against the PIM contract checklist and the PIM selection red flags before signature. An answer that the vendor will not put in the annex is an answer you should not score.

An RFP answer is a promise. We write the response options so that every yes can be quoted back in the contract.

Frequently asked questions

What sections should a PIM RFP contain?

A PIM RFP should contain company context, scope and won't-haves, a reference to your data model, the requirements per domain with response columns, the demo scenarios with sample data, commercial questions on licence metrics and services, contract terms on SLA and exit, and the timeline with the evaluation method. The builder generates all eight sections from your selections.

Should we send the RFP before or after the demos?

Send the requirement part of the RFP with the scenarios before the demos, so vendors prepare on the same basis. Collect written answers before the demo and verify them live. In the decide stage, the final RFP round confirms answers, commercial terms and contract positions for the two or three remaining vendors, using the same requirement IDs.

How should vendors answer each PIM requirement?

Vendors should answer each requirement with one response code: standard, configuration, partner extension, roadmap with a date, or not supported. Free-text yes answers cannot be scored or enforced. Ask for a short explanation per answer and the licence edition in which the capability is available, so higher-tier features become visible before negotiation.

Can we add our own requirements to the RFP builder?

Yes. Add company-specific requirements with your own ID prefix, in the same format as the published ones: one testable sentence, a rationale, a test and a priority. The builder treats them like published requirements in the response table, so vendors answer them with the same codes and your scorecard handles them the same way.
