PIM SelectionThe independent guide to choosing a PIM

How do I know we have outgrown spreadsheets for product data?

A company has outgrown spreadsheets when several people edit product data in parallel, each channel needs its own export, and nobody can say which file holds the approved version. Further signals are slow launches, translation backlogs, data rejected by retailers and compliance requests that take days to answer.

Spreadsheets stop working when product data needs more than one owner, one language or one channel. At that point every change is copied by hand, and errors spread faster than anyone can correct them.

Five signals appear in most PIMvendors engagements with spreadsheet-based teams:

  • More than 1 version of the master file circulates, and nobody can name the approved one.
  • Each webshop, marketplace or distributor receives a different export, built manually.
  • New product launches wait for content, images or translations.
  • Customers or retailers return data because attributes are missing or inconsistent.
  • A compliance request, for example on PPWR packaging data, takes days to answer.

PIMvendors estimate: three or more of these signals justify a structured readiness assessment. That assessment checks data, process and people maturity before any tooling discussion, because a PIM filled with spreadsheet chaos repeats the same problems in a more expensive system.

Moving off spreadsheets also needs a data model: product families, attributes per class, mandatory fields and owners. Designing that model is the first step, and it often shows whether an ERP extension or a lighter tool covers the need.
