Who should make the final PIM decision?
A steering committee should make the final PIM decision, chaired by the business sponsor who owns the business case, with product data, e-commerce, IT, compliance, procurement and finance represented. The decision follows scoring criteria agreed before the first demo, and the sponsor signs off on cost, risk and the implementation partner.
The final PIM decision belongs to a steering committee chaired by the business sponsor, using criteria agreed before the first demo. A PIM serves several departments, so a decision by IT or e-commerce alone usually fails at adoption.
A typical decision structure has 3 layers:
- Steering committee: the sponsor, usually a director of e-commerce, marketing, operations or digital, plus finance and IT leadership. It approves budget, risk and the final choice.
- Selection team: product data, e-commerce, IT architecture, compliance and procurement. It runs demos, scores scenarios and prepares the recommendation.
- Key users: the people who will enrich data daily. They score usability in the scenarios.
Write the RACI at the start of the selection. Procurement and legal join early enough to shape the contract template, and IT architecture owns the integration assessment.
In PIMvendors selections, the recommendation document shows scores per domain, 5-year total cost, references, partner assessment and open risks, with trade-offs stated plainly. The steering committee then decides on evidence, and the decision can still be explained a year later.
A last-minute change by one senior stakeholder, against the agreed scores, is the clearest sign that stakeholder alignment was skipped earlier.
