PIM SelectionThe independent guide to choosing a PIM

Pimcore vs Stibo Systems: which PIM fits your situation

Pimcore and Stibo Systems both cover multidomain master data, from opposite starting points. Pimcore is a configurable data and experience framework with published annual licences and a free POCL Community Edition, shaped by developers and partners. Stibo Systems STEP is an enterprise MDM product run as SaaS on Azure or on-premise. The deciding factor is your development capacity.

Choose Pimcore when

  • Organisations with in-house or partner developers that want to shape their own data model
  • Buyers that need PIM, DAM, MDM and CMS on one framework with published licence prices
  • Teams that want to self-host or choose their own private cloud and keep upgrade timing

Choose Stibo Systems when

  • Large enterprises that want a configured multidomain MDM product with vendor-run SaaS on Azure
  • Programmes governing product, customer, supplier and location data across many business units
  • Buyers that want a vendor-supplied AI roadmap for governed master data, including agent access

The core difference

Pimcore is a framework you shape, and Stibo Systems STEP is a product you configure. Pimcore, based in Salzburg, lists PIM, MDM, DAM, CMS and CDP on one PHP and Symfony framework, with data models of any complexity and more than 40 data components. Stibo Systems, based in Aarhus and owned by the Stibo Foundation, sells STEP as multidomain master data management for large enterprises.

Commercial and hosting models differ sharply. Pimcore publishes annual licence prices, runs on-premise, in a private cloud or as managed PaaS, and moved its free Community Edition to the POCL licence with version 12 in 2025. Stibo STEP runs as SaaS on Microsoft Azure or on-premise, and its 2026.1 documentation states that feature updates are exclusive to SaaS customers.

Both vendors changed the ground under existing customers in the last two years. Pimcore 12 made the React-based Pimcore Studio the default admin interface, replacing the legacy ExtJS interface, and the POCL change prompted a community fork called OpenDXP. Stibo's SaaS-only feature policy pushes on-premise STEP customers towards Azure. Existing customers of either vendor should budget for that change when they compare.

PIMvendors has hands-on consulting experience with Stibo STEP. Pimcore is outside that list, so the Pimcore side of this comparison draws on public documentation and selection work. Both vendors appear with sourced records in the PIM vendor directory.

Scenario by scenario

These five tests from the demo scenario library target points where Pimcore and Stibo STEP are likely to behave differently. Ask for each one on your own sample data.

  1. SC-05, add a new product family with inherited attributes. This test separates configuration from development. Ask a business administrator from your team to create the family and move three products into it. Note every step that needs a developer or partner.
  2. SC-10, run a new product introduction workflow. Stibo STEP should configure the five-role workflow in the session. For Pimcore, check how much of the workflow is configuration and how much is partner code, and who maintains it after go-live.
  3. SC-25, create items from ERP with a clear master split. Stibo lists an SAP material master connector. Pimcore integrates through REST and PHP APIs and partner work. Test attribute ownership, ERP updates on enriched items and failed record handling.
  4. SC-29, search and filter a catalogue of 500,000 SKUs. Both vendors claim scale. Load your attribute structure with four locales and time search and combined filters live, on the hosting model you will buy.
  5. SC-30, keep editing fast during a large import. Run a 20,000-product import while five users edit. Self-hosted Pimcore performance depends on your infrastructure, so test on hardware sized like production.

Pricing model contrast

Pimcore publishes licence prices, and Stibo Systems quotes. Pimcore Professional costs USD 9,900 per year on-premise, and Enterprise USD 29,900 per year, adding Enterprise Extensions and long-term support. Neither edition limits products, assets, sites or users, and both allow up to four production instances. More than four instances requires contact with Pimcore about an Unlimited Edition. Managed PaaS is quoted and includes hosting, operations and 24/7 support.

The licence is the smaller part of a Pimcore budget. Partner development, hosting and upgrades carry most of the cost, so ask partners for a fixed-scope estimate on your scenarios. The Community Edition is free under POCL, and its terms deserve legal review before production use.

Stibo Systems publishes no prices. Ask for a product-only quote alongside any multidomain scope, and for the cost of environments, connectors and AI modules. On-premise STEP buyers should price a later SaaS move, because new features reach SaaS only. The build vs buy guide helps frame framework cost against product cost over five years.

Migrating between Pimcore and Stibo Systems

Migration between Pimcore and Stibo STEP is a full re-platforming, because a Pimcore model is usually custom-built. Three workstreams carry the risk.

  1. Data model mapping. Document every Pimcore class, field type, relation and custom logic before mapping it to STEP's domains, attributes and hierarchies. Moving from STEP to Pimcore means rebuilding governance rules and workflows in code or configuration. Reconcile record counts per domain.
  2. Integrations and custom code. Pimcore integrations often live in partner code, so inventory them early. Rebuild ERP, commerce and channel feeds, and test each with production volumes.
  3. Contract terms. Pimcore annual licences and STEP SaaS subscriptions carry different notice periods. Check data export formats and exit assistance, and confirm who owns custom code written by the partner.

Run both systems in parallel until channel output matches. The guide to replacing your PIM covers cut-over.

How to decide

The choice between Pimcore and Stibo Systems turns on who owns the data model after go-live. Use these criteria.

  • Development capacity. If you have developers or a long-term partner, Pimcore's framework gives control. If business teams must run governance without code, test whether Stibo STEP's configured product fits better.
  • Hosting and upgrades. Self-hosting is possible with both, but only STEP SaaS receives new STEP features. Pimcore self-hosted customers control upgrade timing and carry upgrade effort.
  • Licence comfort. Review POCL and PEL terms for Pimcore and SaaS terms for STEP with legal counsel.
  • User interface. Pimcore Studio became the default interface in version 12. Ask business users to complete SC-07 and SC-28 in both platforms and record where they needed help.
  • AI direction. Stibo has shipped agent access through its MCP Server. Pimcore lists MCP integration for PaaS. Test both on SC-19 and SC-20.

Read the Pimcore vendor profile and the Stibo Systems vendor profile, then run your profile through the PIM Fit Finder. Script both demos from the demo scenarios library.

Pimcore rewards teams that can design and maintain their own data model, and Stibo STEP rewards teams that want governance configured inside a product. Test both with a business administrator at the keyboard in SC-05.

Frequently asked questions

Is Pimcore still open source?

Pimcore moved its Community Edition from open source to the proprietary POCL licence with version 12 in 2025, according to Wikipedia's summary of the change. Professional, Enterprise and PaaS editions use a commercial licence. Buyers who chose Pimcore for open source should read the POCL terms with legal counsel. Stibo Systems STEP has always been proprietary software.

Can Pimcore replace Stibo STEP as an MDM?

Pimcore lists PIM, MDM, DAM and CDP on one framework and supports data models of any complexity. Stibo STEP offers configured data clouds for product, customer, supplier, location, sustainability and business partner data. Pimcore can cover multidomain needs where developers build the model and workflows. Test governance depth with scenarios SC-10 and SC-22 before assuming either replaces the other.

Which costs less, Pimcore or Stibo Systems?

Pimcore publishes licence prices of USD 9,900 per year for Professional and USD 29,900 per year for Enterprise, with PaaS on quote. Stibo Systems publishes no prices. Licence is only part of the cost: Pimcore programmes carry partner development and hosting, while STEP programmes carry SaaS subscription and configuration. Compare five-year total cost on the same scenario scope.

Does Pimcore offer SaaS like Stibo Systems?

Pimcore offers a managed Enterprise PaaS on custom quote, with hosting, operations, long-term support and monitoring included. Professional runs on-premise, and Enterprise on-premise or in a private cloud. Stibo Systems offers STEP as SaaS on Microsoft Azure or on-premise, with feature updates exclusive to SaaS customers according to its 2026.1 documentation.

Who implements Pimcore and Stibo STEP?

Pimcore points buyers to certified solution partners through a Partner Finder, and its value depends heavily on that partner's developers. Stibo Systems runs a global partner programme with a partner finder. For both vendors, score the partner on reference projects of similar scope, data model ownership after go-live and the team that will actually work on your programme.
